Hours per week: 35 hours per week
Status: Contract (Appendix D)
Effective Date: July 5, 2022 to April 7, 2023

THIS IS A TEMPORARY REPLACEMENT POSITION FOR A BARGAINING UNIT EMPLOYEE. Terms and conditions of employment are as outlined in the Support Staff Collective Agreement.

Reporting to the Manager, EAP, the incumbent is responsible for a variety of administrative support services as well as assisting with the organization, planning and coordination of the English as a Second Language (ESL) and English for Academic Purposes (EAP) programs/services for the college. Specific duties include, but are not limited to:

  • Providing day-to-day administrative support to the Manager EAP, faculty and staff
  • Providing front line customer service to students and staff
  • Acting as the first point of contact for EAPC/ESLG program and service related inquiries or issues
  • Assisting with student registration for the program
  • Assisting with overall program planning activities and scheduling which includes testing arrangements, development and maintenance of program related policies/procedures and the creation, coordination and distribution of program promotional and communication materials
  • Assisting with the planning of various events and services for students in the program including orientation, on/off campus social events, cultural field trips, tours, and volunteer activities
  • Planning, organizing and participating in program meetings including arranging logistics, preparing agendas and materials, recording minutes and following up as needed
  • Gathering data and producing a variety of reports related to graduates, enrollment and retention
  • Distributing program materials such as course or program outlines and booklists
  • Updating and maintaining information regarding the EAPC/ESLG program on the Georgian internet and intranet sites
  • Recording and maintaining student information accurately in the Student Information System (Banner)
  • Assisting with the collection and distribution of documentation associated with the program such as workshop attendance forms
  • Assisting with the coordination of the part-time faculty/student evaluation process
  • Scheduling meetings and appointments, preparing correspondence, sorting and distributing the mail, ordering and tracking the delivery of office supplies, and other office administrative tasks such as office equipment maintenance, photocopying and filing
  • Assisting with the orientation of new staff including providing support with computer programs (Blackboard and Banner)
  • Recording department attendance, and submitting information/documentation to Human Resources/payroll

QUALIFICATIONS:
  • Successful completion of a one-year postsecondary certificate in a relevant field of study that may include, but is not limited to office administration
  • Two years' experience working with internationally educated students in an academic institute and experience in an office environment providing administrative support services including project management and front-line customer service
  • Experience and knowledge at an intermediate level in Microsoft Suite (Word and Excel) and publishing software such as Word Press
  • Experience researching, summarizing and analyzing data to support requests for information and special projects.
  • Experience providing administrative and logistical support for meetings
  • Demonstrated professional communication and interpersonal skills with the ability to interact with external and diverse clients
  • Organizational and time management skills with the ability to manage a variety of projects / tasks simultaneously.
  • Ability to work in a fast paced, stressful environment
  • Ability to maintain a high level of confidentiality to assist the Manager EAP and Dean (i.e. reports, proposals etc.) and to handle information with discretion
  • Ability to critically analyze information, interpret requests, and make decisions in accordance with prescribed procedures and practices of the organization
  • Proven ability to work independently, self-initiate, and to promote a strong team environment
  • Experience with a Student Information System (preferably Banner) is an asset
  • Knowledge of other languages is an asset
