Pay Range

$22.96 – $27.12/hour (placement on salary range as per Collective Agreement)


 

The Kew Beach Unit is an 80-bed transitional care facility that is jointly run by VHA Home HealthCare and the Michael Garron Hospital. The Team Assistant plays a vital role in supporting the smooth operation of the Kew Beach Unit by providing both administrative and care team support. Acting as the first point of contact for patients, visitors, and other stakeholders entering the facility, the Team Assistant ensures clear and consistent communication across the unit. Key responsibilities include coordinating patient activities and appointments, maintaining up-to-date patient records, and supporting staff through scheduling, payroll, and report compilation. The Team Assistant also oversees the inventory and ordering of medical supplies and equipment necessary for the efficient delivery of care, while offering full clerical support to the Unit Manager and broader care team. #LI-MD1


 

Key Areas of Accountability:

  • Greets and pre-screens visitors, provides directions within the facility, and maintains a record of all visitors each day.
  • Coordinates appointments for patients and follows up with referrals.
  • Assists with phone calls, such as booking of transportation, responding to family inquiries, and reporting other urgent situations.
  • Orders and maintains inventory of general supplies for the facility, such as toiletries, medical supplies, and equipment.
  • Calls external vendors to troubleshoot technical issues within the facility.
  • Communicates with the Environmental Services (EVS) team about patient admissions and discharges (verbal or email).
  • Monitors MGH-Kew Beach email and fax inbox and responds to inquiries.
  • Provides scheduling and time entry support to the supervisor.
  • Books transport for all patient appointments & discharges.

Key skills, experience and behaviors required for this position:

  • Secondary School Diploma.
  • Possess superior computer and data entry skills with proven speed and accuracy (50wpm).
  • Have experience and a keen desire to learn and utilize new software/electronic applications.
  • Culturally competent, interacting effectively with diverse stakeholders with a wide range of communication skills.
  • Must be able to communicate and document in an effective, timely and efficient matter with clients.
  • Strong attention to detail and the ability to deal with multiple priorities is a requirement.
  • Strong team player and can work effectively under pressure, adhering to deadlines.
  • Communication skills, with a focus on phone etiquette and call management skills.
  • Customer service and administrative skills, organizational and time management skills.
  • Works effectively in a team environment, communicating professionally with all stakeholders and vendors.
  • Ability to work fully in-person on a rotating shift schedule that includes weekends, evenings, and holidays.
  • You are comfortable working in a constantly shifting environment as VHA responds to changes in client and funder needs and staff availability.
  • Proven organizational and effective problem-solving skills are required.
  • Demonstrated efforts to continuously develop and upgrade skills and achieve personal and organizational performance targets are required.
