WHERE YOU COME IN

We are looking for a Strategic Projects Specialist to join our team at Make-A-Wish Canada. In this role, reporting to the Chief of Staff, you will actively manage the planning, coordination and execution of strategic and transformational projects across the organization. You will work closely with the organization's senior leadership, ensuring that strategic projects and outcomes, meetings and executive initiatives are delivered efficiently and with high standards of quality and professionalism.

This role is based in Toronto and is a full-time, hybrid, permanent position. The hiring range for this role is $69,100-$74,100.

WHAT YOU WILL DO

  • Support the management and execution of strategic and transformation projects, ensuring timely delivery and measurable business impact.
  • Analyze and enhance business processes using advanced analytical and problem-solving skills to improve effectiveness and efficiency.
  • Collaborate with the Chief of Staff to develop project plans, timelines, and milestones.
  • Conduct in-depth research and strategic analysis to inform key initiatives and promote best practices.
  • Provide support for Senior Leadership Team meetings and planning sessions, including drafting agendas and preparing minutes.
  • Assist in developing materials for quarterly Board Meetings and the Annual Strategy Retreat.
  • Coordinate CEO regional communications scheduling and quarterly distribution.
  • Manage meeting logistics, including participant confirmation, material preparation, and documentation distribution.
  • Arrange travel, accommodation, and transportation as required.
  • Maintain organized filing systems and ensure policies and compliance tracking are current.
  • Manage and update the senior volunteer database in Salesforce, partnering with Fundraising leadership to ensure data accuracy.
  • Other duties as required.

WHAT YOU BRING

  • Post-secondary education in Administration, Business or related field, or equivalent combination of training, education and work experience.
  • 5 years of experience in administration, project coordinator, or related roles.
  • Experience managing multiple projects simultaneously and conducting simultaneous follow up with stakeholders to ensure effective execution and delivery.
  • Experience managing complex tasks and competing priorities.
  • Experience supporting senior leadership or executive teams is considered an asset.
  • Pursuing Project Management Professional (PMP) certification considered an asset.
  • A clear Criminal Background Check will be required.

YOUR WORK ENVIRONMENT

  • Hybrid work model, with 2 days in-office per week and 3 days remote.

Physical/Mental Effort

  • Work under pressure of tight deadlines, balancing high volume workload, and with multiple demands and changing priorities.
