Job Description

Advanced Utility Systems (AUS) is looking for an energetic, motivated, detail oriented, customer focused Executive Assistant. This role will serve as the primary support to the Executive Vice President as well as four department Vice Presidents and the business as a whole. This person will be responsible for providing effective and efficient administrative and logistical support in a dynamic, central role within AUS.

This position is temporarily remote and anticipated to be a hybrid role with scheduling flexibility, based out of our Toronto office.

What will you do?

• You're the backbone of the office.  You'll ensure supplies are on hand, vending machines are full and coffee vendors are regularly keeping us caffeinated. You'll manage the alarm company and be the point person with property management.
• You're a scheduling guru.  You can manage multiple calendars and make travel bookings with ease (once we are travelling again, that is).
• You'll keep us fed by ordering catering for meetings and events.
• You've got a flare for event planning and it shows in your ability to plan and execute high-impact in-person and virtual team events, from leadership offsites, team all hands, training sessions, to team retreats.
• You're comfortable with numbers.  You'll prepare expense reports and submit invoices for payment.

You are a good fit for this role if:

• 5+ years' experience as an administrative assistant or executive assistant
• Your organizational skills and meticulous attention to detail are the reason your friends nominate you to organize events
• You have the confidence to make highly independent decisions
• You're comfortable working with new technology and working online
• You're at ease with sensitive information
