Located in Barrie and reporting to the Vice President, Human Resources, the incumbent provides administrative support to the Vice President, Human Resources. This includes confidential labour relations and administrative support for the Human Resources department. The incumbent provides logistic and administrative support to a variety of committees and will support event planning as required. Specific duties include, but are not limited to:

Administrative Support/Office Coordination
• Managing workflow in the office of the VP, HR which includes (but not limited to) coordinating changes of equipment, moves, phones, furniture, computers, keys, cell phones and purchasing equipment/supplies
• Preparing confidential and sensitive documents, proposals and presentations for workshops and meetings including Senior Leadership Team and Board of Governors meetings
• Administrative support which includes but is not limited to preparing meeting materials and packages, taking minutes for committee meetings, assisting with the production presentation materials, correspondence and reports, maintaining the VP's calendar, making travel arrangements, tracking follow up items from committee meetings, following up on agendas and outstanding items to assist the VP with issues management
• Following accounting and purchasing procedures for the department, processing all PO's and invoices and assisting with budget reviews
• Providing customer service and responding to general inquiries from visitors, phone calls and emails
• Providing general administrative support to the department
• Organizing and managing event logistics for internal stakeholders
• Updating and maintaining HR Sharepoint sites
• Maintaining HR policies and procedures

• Successfully completed a two-year postsecondary diploma in office administration or business or a relevant field
• A minimum of four years' experience in a similar role
• Experience providing committee/meeting support
• Demonstrated experience in planning and executing events
• Computer skills and experience using Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and Outlook
• Ability to find relevant information in a Human Resources Information System (HRIS)
• Strong communication skills (written/oral) and interpersonal skills
• Organizational and time management skills with the ability to manage a variety of projects / tasks simultaneously
• Ability to maintain a high level of confidentiality and operate with discretion in sensitive situations
• Demonstrated experience in supporting senior leadership in an administrative capacity
• Experience working within a human resources department is an asset
