We are currently hiring a full‑time Bilingual HR and Administrative Coordinator to join our Toronto office. This is an exciting opportunity to support our HR and Office Operations teams.

What will you do?

Reporting to the Director, Executive Support, this position focuses primarily on office coordination and HR administration, with some reception coverage.

Responsibilities:

 

Office and Administrative Coordination:

  • Oversee daily office operations, ensuring a well organized, efficient, and welcoming work environment
  • Coordinate office supplies, vendor relationships, and service requests
  • Assist with meeting logistics including room setup, catering, and equipment preparation
  • Support coordination of on site events and employee activities
  • Provide front desk coverage, greeting visitors and assisting with incoming calls when required
  • Manage incoming deliveries with professionalism and discretion
  • Provide assistance to the Director, Executive Support and members of the Executive team

 

HR Support:

  • Coordinate onboarding for new employees including preparing packages, scheduling sessions, and maintaining employee records in HR systems
  • Support HR initiatives such as benefits administration, training sessions, and employee programs
  • Draft and format HR documents including contracts, letters, and reports
  • Maintain internal staffing lists and support general HR administration
  • Assist the Payroll team with administrative tasks, data preparation, and documentation requirements
  • Participate in workplace health and safety activities and help maintain compliance documentation

 

What makes a successful Bilingual HR and Administrative Coordinator?

 

  • 1 to 3 years of experience in office administration, HR support, or similar roles
  • Bilingual fluency in English and French
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a dynamic environment
  • Proficient in Microsoft Office; familiarity with SharePoint and openness to learning new tools including AI tools
  • Professional presence with excellent interpersonal skills
  • High level of discretion, reliability, and confidentiality when handling sensitive information
  • Post secondary education is an asset
  • Flexibility to support occasional events or special projects
