The Role:

As a Bilingual Install Services Coordinator you will be working in conjunction with the Dealer Training Optimization team and Project Management team to facilitate a dealership changing from their current DMS provider to PBS. 

Job Responsibilities:

  • Work with Install Services Sr. Coordinator to ensure the initial calls to dealerships to discuss install process as it relates to Dealer Services department are completed and relay said information to the teams.
  • Work with Install Services Manager and Install Services Sr. Coordinator to ensure tasks on Install Services checklist are completed before the install date by monitoring various department tasks, queues, scripts
  • Where needed, work with Install Services Sr. Coordinator to follow up with dealership staff ensuring that we have all information needed for the install and ensuring that they have everything that they need
  • Coordinate with various department managers to schedule staff for all DMS installs and to book newer staff to shadow installs as well
  • Communicate and collaborate regularly with Dealers Services teams as well as other departments to ensure everything we need to have a successful install is complete
  • Process travel incentives and ensuring that everyone receives correct incentive
  • Schedule and book onsite days for dealerships requesting onsite trainers
  • Work with training manager to ensure we have the correct shadow process in place and that it is followed by staff
  • Ensure that any staff that will become install resource has the proper install gear (shirts, badges, etc.)
  • Work with Install Services Senior Coordinator in regard new fast track installs that come through from the sales department to ensure that nothing is missed
  • Work with Install Services Manager on various projects
  • When needed, help the DTO InfoAdmin team for things such as loading and coding of financials, DOC's (1, 2 and 3), income dashboards, manufacturer inspections, loaner agreements, tire storage stickers, transfer of ownerships and letterheads
  • Responds to both internal and external support requests in a timely manner
  • Escalate issues to the corresponding teams where needed
  • Willingness to commit to an ongoing system of education and cross-training
  • Maintain documentation and update as processes change within the department

  

Qualifications:

  • Fluent in French and English (speaking, reading, writing)
  • 1-2 years previous experience in a related industry or field
  • Strong knowledge of Microsoft Office Suite with proficiency in Excel
  • Excellent communication skills
  • Excellent customer service skills
  • Problem solving and troubleshooting skills
  • Strong documentation abilities
  • Effective time management
  • Strong organizational skills
  • Strong multi-tasking and prioritization
  • High School Diploma
  • Available for occasional work on Saturday and/or Sunday to support software installations
  • Available occasional work on USA/Canadian holidays based on installation needs
