Pay Range
$61,000 - $76,000 (Commensurate with experience)
Key Areas of Accountability:
Provides administrative support to VP and department, handling sensitive and confidential matters relating to the daily activity of the division
Coordinate and manage the VP's calendar, including establishing priorities and responses, scheduling appointments, meetings, and events, arranging travel plans, itineraries, and agendas
Act as a trusted liaison between the executive and internal/external stakeholders, ensuring timely and professional communication
Organize/coordinate major educational events offered by the department inclusive of connecting with external vendors/partners, booking rooms, creating budget, organizing participants, food etc.
Support the VP in monitoring and reporting of department dashboard
Coordinating tasks, deadlines and resources to ensure successful project outcomes
Identify opportunities for process improvement and support implementation within a continuous quality improvement framework
Key Skills, Experience and Behaviors required for this position:
Post-secondary office administration diploma
Bachelor's degree in a health-related care discipline or business degree is an asset
A minimum of five years of experience in assistance and support at a senior management level and/or 3 years of project management/coordination role experience, preferably in health-related sector
Project Management education is required, and a Project Management Professional (PMP) certification is preferred
Experience in leading and supporting project teams
Excellent verbal and written skills
Computer literacy using Microsoft office software applications and proficiency in word processing, spreadsheets, business intelligence tools, project management tools and presentation software
Experience in creating reports, presentations and spreadsheets
Proven ability to build and maintain strong working relationships with multiple internal partners and stakeholders and promote a culture of collaboration
High degree of accuracy and attention to details with ability to prioritize/manage competing demands and meeting deadlines
Results Oriented: exhibits ‘can do' attitude; perseveres to deliver results; anticipates potential issues/barriers and develops contingency plans to address them; demonstrates a comprehensive understanding of key performance indicators and develops action plans to improve outcomes
Organized: organization, time and self-management skills- Uses time efficiently and responds quickly and constructively when confronted with challenges and changing priorities
Experience in supporting and applying a design approach in the delivery of projects requiring significant change management is an asset.
