THIS IS A TEMPORARY REPLACEMENT POSITION FOR A BARGAINING UNIT EMPLOYEE. Terms and conditions of employment are as outlined in the Support Staff Collective Agreement.

Located in Owen Sound and reporting to the Dean, the incumbent is responsible for a wide range of administrative duties related to academic planning for all course delivery at the Owen Sound campus. Specific duties include, but are not limited to:

• Meeting and / or initiating activities with a diverse group of stakeholders to meet timelines required by the academic planning schedule and by implementing the cycle over three separate terms per year which includes:
o Producing workload assignment request package(s) for full-time faculty use, compiling draft workload assignments and producing Standard Workload Forms (SWF's)
o Determining unassigned faculty sections, assisting with assigning to non-full-time faculty, ensuring contract and payroll forms are complete by coordinating the hiring process including reference checks
o Comparing actual to projected enrolment, recommending adjustments to sectioning / workloads and implementing approved adjustments as required
o Working with Scheduling to schedule courses, coordinating the sharing of sections, coordinating the submission of timetable parameters, resolving problems, reviewing, correcting and finalizing timetables and resolving scheduling conflicts
o Ensuring the curriculum is verified, assisting in forecasting enrolment, planning and recommending numbers / sizes of sections
• Managing a variety of data from different sources for use in decision-making within the academic portfolio and / or campus operations which may include:
o Compiling, analyzing information, ensuring accuracy and creating reports such as historical enrolment information
o Developing processes and systems for compiling, analyzing and reporting program costing data as well as identifying ways to ensure the process runs smoothly
o Setting up systems to track, monitor and report on non-routine projects
• Supporting planning and process which includes:
o Responding to inquiries regarding academic processes or budget from staff
o Providing support for planning, process mapping / documentation and procedural documentation to support process and systems

QUALIFICATIONS:
• Successfully completed a three-year postsecondary diploma / degree in a relevant field of study that may include, but is not limited to business or office administration
• Five years' experience in an office environment monitoring / tracking budgets and financial information, analyzing and compiling data, producing / generating reports, and providing administrative support to a diverse group of stakeholders
• Advanced level computer skills, and experience in database / information management using Microsoft Office Suite (i.e. Excel, Access)
• Demonstrated communication (written and oral) and interpersonal skills to respond to inquiries and provide guidance and / or assistance to others
• Proven ability to develop processes and systems for compiling, analyzing, and accurately reporting on data from various sources / systems
• Demonstrated organizational and planning skills with the ability to be flexible and multitask to meet conflicting deadlines
• Demonstrated experience with finance and budgets including the ability to quickly and accurately track, compile, and summarize numerical information and financial reports
• Proven ability to design / re-design and implement tracking, analysis, and reporting mechanisms for on-going financial performance monitoring
• Demonstrated conflict resolution and problem-solving skills with the ability to make day-to-day decisions as required
• Proven ability to take initiative, work independently as well as an effective team member
• Experience in an academic environment working with a student and / or financial information system (preferably Banner or PeopleSoft) are assets
