Job Description

Department: Indigenous Services and Access Programs
Campus: Barrie
Classification: Support Staff

Salary Range: $24.62 (start rate) - $28.52 (4-year rate)
Hours per week: 35 hours per week
Status: Full-time

Reporting to the Program Manager, the incumbent provides support to the Academic and Career Preparation (ACP) program. Specific duties include, but are not limited to:

  • Acting as first point of contact for the ACP program
  • Screening clients to determine eligibility and performing initial assessment of suitability
  • Assisting in the administration of intake documents and academic assessment
  • Inputting and maintaining learner information into the Employment Ontario Information System (EOIS-CaMS)
  • Creating, registering and maintaining student records in the Student Information System (Banner)
  • Administering the Learner Support Allowances fund including processing applications
  • Completing exit process and follow up calls
  • Monitoring and tracking data to ensure learner targets are achieved
  • Compiling and preparing statistical data for program staff and for submissions to various stakeholders (Ministry of Labour, Immigration, Training and Skills Development [MLITSD], etc.)
  • Developing and documenting procedures ensuring program guidelines and policies are meeting MLITSD reporting and suitability guidelines
  • Promoting the program to community partners / organizations and reaching out to new partners, organizations and businesses as necessary
  • Participating in promotional events like Open Houses and college-wide events and in the community including local Barrie events; limited travel throughout Simcoe County as necessary

QUALIFICATIONS:
  • Successfully completed a one-year postsecondary certificate in relevant field of study that may include, but is not limited to office administration or business
  • Two years' experience in a busy office environment where duties included providing frontline customer service, maintaining data in a database, and compiling and preparing statistical data
  • Experience screening and assessing program eligibility, and administering assessment tests to students
  • Proven computer skills and experience at an intermediate level with Microsoft Office Suite (Word, Excel, Outlook, etc.) to answer inquiries, prepare documents, and track data
  • Customer service and communication (written/oral) skills with the ability to provide clear and concise information with diplomacy and tact
  • Proven organizational and time management skills with the ability to multitask and meet competing deadlines
  • Ability to work individually as well as within a team environment
  • Ability to work occasional non-traditional hours is required
  • Experience working within the Ministry database (EOIS-CaMS) and a Student Information System (preferably Banner) would be considered assets
  • Experience in an academic environment is an asset
  • Familiarity with the service providers in Simcoe is an asset
