Administrator (New Grad)

Position Summary

Thales Canada Defence & Security (TCDS) is seeking an Administrator to help support a variety of clerical and organizational tasks to ensure smooth business operations. They will assist with general day-to-day inquiries, creation of reports and presentations, and the coordination and facilitation of localized events, processes, and tasks. This role will also have an opportunity to play an active role supporting different business initiatives.

This role requires strong organization, communication skills, attention to detail, and the ability to multi-task in a fast-paced environment.

Essential Functions

This role will provide day-to-day administrative support, which could include:
• Responding to basic day-to-day inquiries on topics including onboarding and offboarding logistics (IT, Security, Facilities, etc.), and directing them to where they can find the appropriate policies, procedures, etc.
• Assisting with preparation of email correspondence, memos, and presentations.
• Updating and maintaining certain sections of the TCDS SharePoint site
• Supporting local employee onboarding and offboarding logistics and tasks (IT, Security, Facilities, etc.)
• Assisting in preparing reports and consolidating information for TCDS HR Director and/or senior management.
• Participating and supporting different business projects and programs as assigned
• Helping drive completion of key compliance and localized activities through regular reporting and follow through with key stakeholders
• Assisting with coordination of site events, information sessions, meetings, and training sessions. This may include conference room scheduling, catering, agenda creation, collection, printing and distribution of meeting materials, room set up and clean up
• Actively participating in planning and coordinating localized visits with function specific corporate visitors

Minimum Requirements

Education & Experience:
• Diploma in Office Administration or equivalent
• Previous administrative experience is an asset
• Highly proficient in SharePoint and Microsoft Office (Excel, Word, PowerPoint, Outlook)

• Aptitude to interpret and disseminate information about company policies and procedures

• Promotes collaboration and cooperation amongst other departments
• Be the company ambassador projecting a professional and ambassadorial attitude

All applicants must be able to obtain a Canadian NATO Secret security clearance and meet the eligibility requirements outlined in the Canadian Controlled Goods Registration Program and ITAR Program.

Preferred Qualifications

• Post-secondary education in Human Resources, Business Administration and/or related field preferred
• Experience with different business systems (Workday, SAP, Oracle)
• Bilingualism (French/English)

The reference Total Target Compensation(TTC) market range for this position, inclusive of annual base salary and the variable compensation target, is between

Total Target Cash (TTC) 46,903.85 - 75,521.65 CAD Annual
